Understanding and Utilizing Recurring Assignments in Your LMS

Learning and development are ongoing processes in any forward-thinking organization. In recognition of this, KnowledgeCity offers an LMS feature that streamlines the process of recurring training: Recurring Assignments. By using this feature, learning activities can be scheduled to reset automatically, allowing students to retake their training at specified intervals without manual intervention by LMS Administrators. This feature is particularly beneficial for ensuring that all employees remain up-to-date with compliance training, skill refreshers, or any other coursework that requires regular re-engagement.

Purpose of Recurring Assignments

The Recurring Assignments feature is designed to support the efficient management of course completions on a regular basis. Before the introduction of this feature, administrators were challenged with the task of manually creating multiple groups with the same courses for the same students across different time frames. Now, with Recurring Assignments, course progress can be reset and learners can be informed when a course has been reassigned to them.

Step 1: Access Recurring Settings

  1. Navigate to the Learning Path tab on either a User Profile page or a Group page.
    Note: The "Learning Path" tab may also be displayed as the "Assignments" tab.
  2. Select the course list you want to set to be recurring.
  3. Click on the 3-dotted icon near the row with the course list.
  4. Click on the Recurring settings option.

Note: It is not possible to change group assignments from a student's individual learning path. Group assignments can be changed from the group's learning path.

Step 2: Configure Recurring Settings

  1. In the Recurring settings pop-up, you will see several fields:

    • Reset timing: Select either "Recurring" (default) or "On date".
    • Run from the moment of: Choose between "Passing course list" and "Assignment".
    • Reset date: If "On date" is selected for Reset timing, specify a particular date for the reset.
    • Reset progress every: If "Recurring" is selected for Reset timing, specify how often the progress should be reset (e.g., every N day(s)/month(s)).
    • Set up new availability dates: Check this box if you want to set new availability periods and due dates after each reset. This option is not available for group assignments where the "Run from the moment of" is set to "Passing course list".
    • Set due date and Availability period: These fields appear only if you checked the option to set up new availability dates.

When you've finished filling out the form according to your needs, click the Confirm button. If "Run from the moment of" is set to "Assignment", the system will not only reset the progress but also reassign the course list to maintain cyclicity.


Step 3: Confirm the Recurring Assignment

After completing the setup, you will be taken back to the Learning path tab. The course list you have configured will display a green check mark in the Recurring field of the table, indicating that the recurring setting is active.

Step 4: Modify or Remove Recurring Settings

  1. To update the recurring settings, click on the 3-dotted icon and select "Recurring settings".
  2. To remove recurring settings, click on the "Remove" button.

By utilizing dynamic recurring assignments, admin users can ensure that their employees are consistently up-to-date with required training without manually resetting courses and assignments.
