Understanding and Using the Notifications Feature of the KnowledgeCity LMS

Introduction

The Notifications feature of the LMS acts as a centralized control center for managing notifications and reminders. It enables the creation of course or course list reminders and broadcast announcements, ensuring that users stay informed about their training schedules and other important information. Notifications can be sent to specific individuals, groups, or all LMS users and can be one-time or scheduled for recurring delivery.

Accessing the Notifications Page

  1. From the LMS dashboard, navigate to the "Notifications" feature found in the left side panel.
  2. The Notifications page is divided into two main views:
    • All Notifications: View and filter all types of notifications currently set in the LMS.
    • Sending Log: A log displaying a list of scheduled and sent notifications.

Filtering Notifications

Under the All Notifications section, you can:

  1. Switch between and filter notifications by choosing "All," "One Time," or "Scheduled" notifications.
  2. Use the "Recipient's Filter" to view notifications by specific groups or users.
  3. Employ the "Course List Filter" dropdown to filter notifications by course list.
  4. Use the search functionality to find notifications by the subject line.

Creating a New Notification

To create a new notification:

  1. Click the "Create Notification" button located in the top right corner of the Notifications page.
  2. Choose the recipients of the notification (specific groups, users, or a specific course list).
    • When selecting groups or users, decide whether the notification will be related to a specific course list.
    • Utilize the dropdowns to set all or specific group/user targets.
  1. Under "Sending Conditions," select based on the user's status or license type.
  2. Choose the sending frequency: "One Time" or "Scheduled".
    • Note: You may also delay sending with the option to send on a selected date.
  3. Provide a subject line and compose a custom message. The text editor provides options for font, size, and formatting adjustments.
  4. Review your notification's settings and, if satisfied, click the "Send" button at the bottom left.

Notification Sending Log and Editing

  1. After sending, you can return to the notification center to see the newly created notification listed.
  2. In the Sending Log, click "View" under the Actions column to see all recipients who have received the notification.
  3. Use the edit, duplicate, or remove options to manage the notification.

Status of Notifications and Scheduled Delays

  1. For scheduled or delayed notifications, you can pause or unpause their delivery.
  2. To change a one-time notification to a scheduled or delayed one, simply edit and adjust the settings accordingly.

Course List Reminders

Optionally, you can create course list reminders directly in the Notifications feature, rather than in the Course List Manager.
