How to Set Up Multi-Factor Authentication (MFA) in KnowledgeCity LMS

Multi-factor Authentication (MFA) provides an additional layer of security for your KnowledgeCity LMS account. Get started with these step-by-step instructions to set up MFA for your user or admin profile.

Enabling MFA for Your Account

  1. Login to your LMS dashboard.

  2. Navigate to the top right corner of the page and click on the Settings icon.

  3. In the dropdown menu, select Account Settings.

  4. On the Account Settings page, locate the Multi-Factor Authentication option in the left panel.

  5. Click the toggle switch next to the MFA setting to enable it.

    Note: Once MFA is enabled, you will be asked to complete the MFA setup upon your next login.

  6. Under the section for available MFA methods, choose your preferred option. You can select:

    • Email: Receive a code via email to use during login.
    • Authenticator App: Use an Authenticator app such as Google Authenticator for increased security through your mobile device.
  7. After choosing your method(s), click the Submit button to apply your selected MFA settings.

Setting Up MFA Upon Next Login

After enabling MFA, follow these steps upon your next login to complete the MFA setup:

  1. Click the Login button on the KnowledgeCity portal homepage.

  2. Enter your username and password, then click Submit.

  3. You will be prompted to set up MFA for your account. Select from the available options:

    • For Email method:
      1. A confirmation code will be sent to your email.
      2. Check your email for the code.
      3. Enter the code in the confirmation field provided.
    • For Authenticator App method:
      1. Click the Setup button to view a pop-up window with a QR code.
      2. Scan the QR code with the Google Authenticator app installed on your mobile device.
      3. Enter the confirmation code provided by the app into the field shown.
  4. After entering the confirmation code, click Confirm or OK to complete MFA setup.

  5. You are now logged in and brought to your user profile page.

Adjusting MFA Settings

To make changes to your MFA:

  1. Navigate to the top right corner of the page and click on the dropdown arrow.

  2. Select My Account from the dropdown options.

  3. In your profile settings, you will find options for Multi-Factor Authentication.

  4. If you need to disable MFA, click the toggle switch next to the MFA setting.

  5. To change your MFA email, click Edit under the email option and follow the prompts.

  6. To set up an Authenticator app after initial setup, click Setup next to the Authenticator app option and go through the steps provided.

Admin MFA Reset

For admins, to reset MFA for a user's profile:

  1. In the User List, go to the user profile you wish to reset.

  2. Click the Reset MFA button to reset the user's Multi-Factor Authentication settings.

That's it! You have now added an extra layer of security to your KnowledgeCity LMS account with Multi-Factor Authentication.
