Managing License Rotations in KnowledgeCity LMS
License rotations in the KnowledgeCity Learning Management System (LMS) are designed to maximize the utility of your allocated licenses, especially in situations of user attrition or role changes. This guide will explain how license rotations work and provide step-by-step instructions on rotating licenses between users.
What Are License Rotations?
License rotations allow a license – which gives a user access to LMS content – to be reassigned or "rotated" to another user without reducing the total count of available licenses. This feature is particularly beneficial for managing turnover or temporary access needs within your organization.
How to Perform License Rotations

Access the License Manager:
- Start on your LMS dashboard.
- Click on the License Manager found on the left side panel.

Review Your Subscription:
- Once in the License Manager, you can see the name of your current subscription and the number of license rotations remaining.

Un-assign a License:
- Find the user from whom you want to remove the license.
- Click on the Unassign option next to their name in the right-hand column.
- Note that un-assigning a license will decrease your number of available rotations by one, but your overall license count remains the same.

Reassign to a New User:
- To assign the license to a different user, click the Assign To option in the Actions column for an available license.
- Search for and select the user in the pop-up to whom you want to assign the license.
- Click on the user's Select button followed by the Assign Licenses button in the bottom right corner of the pop-up.
After these steps, the license will be reassigned to the new user, your overall license count remains unaffected, and your license rotation count will be reduced by the number of licenses you rotated.

- Cost-Efficiency: License rotations provide a way to maintain the same number of active users without purchasing additional licenses, as long as you stay within the number of rotations provided in your subscription.
- Flexibility: You can quickly and easily reassign licenses from users who no longer need access to course content to those who do.
- Accounting for Turnover: Manage changes in personnel by reallocating existing licenses rather than consuming new ones.

- The ability to rotate licenses depends on your subscription including license rotations.
- Keep track of your remaining rotations to ensure you are able to manage licenses efficiently.
- Rotations do not affect the total license count, only the number of remaining rotations.
