Understanding and managing course cycles in the KnowledgeCity LMS

A course cycle represents the record of a user's progress through a course from start to completion. Resetting course progress is sometimes needed to allow a student to re-take a course. This KnowledgeBase article guides you through the process of managing course cycles within a user profile. 

Accessing Course Cycles

  1. Begin by logging in to the LMS and navigating to the dashboard.
  2. Locate and click on the User List on the left side panel of the LMS.
  3. Select a student whose course cycles you want to manage.

Navigating to the Course List Tab

  1. Click on the Course List tab at the top of the page to view the courses available for assignment.

Filtering Course History

Use the All Courses dropdown menu or to filter the view, for example, choose Courses with History to see courses the user has completed.

Managing Course Cycles

  1. In the Actions column next to a completed course, you can:
    • Remove the course from assignment.
    • Remove progress, resetting the course cycle.
    • View the student's current course cycle information.

Viewing a Specific Course Cycle

  1. Click on the option for Course Cycles from the Actions dropdown to access the cycles page for the particular course.
  2. On this page, you will see details like cycle number, progress, and certifications.
  3. To get detailed information about the user’s attempts, click on the specific Cycle.
  4. You'll be presented with data on attempts at each lesson, lesson types, start/finish times, and status of completion.

Exporting Course Cycle Information

At the bottom of the cycle information page, you can export the data to an Excel sheet using the download option in the lower left corner.

Resetting a Course Cycle

  1. Return to the top of the course list page and locate the course you wish to reset.
  2. Click on the Actions dropdown and select Remove Progress to reset the course cycle.
  3. Confirm the action in the popup by pressing OK.

Reviewing Reset Progress

  1. After resetting, change the view dropdown to Assigned Courses to view courses currently allocated to the user.
  2. Confirm that the course had its progress removed as it should now now display as having 0% progress or no progress.
  3. Using the Actions column, you can still access the archived course cycles to review past completions.

Access by Students

Students can view their own course cycles on their My Learning page on the front end of the portal by clicking Course Cycles on the left-side of the portal page.

Finalizing Course Cycle Adjustments

Remember that when course progress is removed in the LMS using this feature, the system archives it as a cycle, which can be referred back to, and the user can retake the course.



By following these steps, you can efficiently manage, archive, and reset your students’ course cycles, allowing you to keep track of their progress and course completions in the LMS. Always ensure to export data when necessary and confirm cycle resets to maintain accurate records of user progress.
