Managing User Groups in KnowledgeCity LMS

Welcome to KnowledgeCity's Learning Management System (LMS). This article will guide you through the steps to manage user groups, including subgroup creation, setting a default group, renaming, moving, and deleting groups, as well as sending messages to groups.

Navigating to User Groups Page

  1. Log in to your KnowledgeCity LMS Dashboard.
  2. Find the User Groups page by clicking on the option in the left side panel of the LMS.

Viewing User Groups

  • On the User Groups page, you will see a list of current user groups, with details such as group name, number of users, number of subgroups, options to move the group, and an actions column.

Creating a Subgroup

  1. Go to the Quick Actions menu in the top left corner of the panel.
  2. Select 'Add Group' to get the Create Group popup.
  3. Choose a parent group from the dropdown menu.
  4. Enter the name for the new subgroup (e.g., 'admin subgroup').
  5. Click the Save button to create the subgroup.

Setting a Default Group

  1. Navigate to the User Groups page for the desired group you wish to set as default.
  2. Click the 'Default' button to mark it as the default group in the LMS.
  3. Confirm by pressing the OK button on the popup message.

Renaming a Group

  1. From the User Groups page, go to the Actions column for the group you want to rename.
  2. Select 'Manage' then click the 'Rename' button.
  3. Enter the new name for the group (e.g., 'Default') and Save the changes.

Moving a Group

  1. Identify the group you want to move (e.g., 'Auditing').
  2. Find the 'Move to Group' option in the corresponding column.
  3. Select the group you want to be the new parent (e.g., 'HR group').
  4. Confirm the move by selecting 'move' in the popup.

Deleting a Group

  1. On the User Groups page, locate the group to delete (e.g., 'Default Group 2').
  2. Click on the Actions menu and select 'Manage'.
  3. Click 'Delete Group' and confirm the deletion in the popup.

Sending a Message to a Specific Group

  1. Select the Actions icon in the Actions column for the group (e.g., 'HR group').
  2. Click 'Manage' then select the 'Send' button.
  3. Type your custom message in the popup.
  4. Optionally, toggle 'Send to Children Groups' if you want to include subgroups.
  5. Click the 'Send' button to dispatch your message to the group.
